Setting Up Online Archive
Your Mailbox is almost full!
Who among us hasn't received this message? One of the more common support inquiries we get here at 256 Solutions is to increase the mailbox size past 50 gig, or in some cases past the 100 gig limit imposed by Microsoft. After a few weeks of deleting spam if you're a fairly busy person with a decently sized mailbox you'll find you're getting this warning over and over again. All is not lost however. Microsoft thought this one through and provides the ability to shift your mailbox items to an online archive which allows for much more storage.
We've created this guide to help our clients in Hamilton, Burlington, Niagara, Oakville and Beyond but if you're not one of our clients and this article is helpful reach out and let us know!
The first step is to check to see if your organization has enabled the online archive. This is a feature that must be enabled on the O365 Admin portal. We typically turn this on per user when requested as most of our users never approach this limit. Please send a support request to us and request this feature be activated for your mailbox. We will get this turned on straight away. Once it is active you can move on to the next stage.
The directions vary slightly depending on which version of Outlook you are using. We will be adding directions for each version.
Outlook for Windows
The following instructions are for Outlook for Windows. These have not been tested for the New Outlook

Open Outlook and highlight your Inbox

Right Click and choose properties

Next click on the policy tab

Under the section marked Online Archive specify the age where you want your items moved to the archive. You may select any of the options you want in the dropdown.

You may do this to your sent item folder as well

It will take some time for the migration to begin as is a backend task that runs on O365.
Outlook for Windows - New and Outlook for Web
The following instructions are setting up the Online Archive for New Outlook for Windows and Outlook for Web

In your web browser go to Office.com, log in, and choose Outlook

Highlight your Inbox

Right click and select Assign Policy

Next select the option you wish to use

You may also set the same policy for your sent items.
